Terms and Conditions of Participation in Training / Conference of Vet Pro Akademia
Terms of Service
1. The organizer of training courses/conferences for veterinary doctors, veterinary students, and veterinary technicians is Vet Pro Akademia, with its registered office in Grudziądz, ul. Rodziewiczów 14, 86-300 Grudziądz, NIP 5792207184, REGON 367187758;

3. Full information about each training course (description of the course, date, location, speaker descriptions), including pricing, is available on the website www.vetproakademia.pl under the WORKSHOPS/CONFERENCES tab and individual thematic tabs, after selecting the appropriate topic. Every person making a registration is obliged to familiarize themselves with this information.
4. The condition for reserving a place at a training course/conference is to make a purchase preceded by setting up a customer account.
5. It is possible to make a deferred payment for 30 days or payment in 3-10 equal interest-free installments every 30 days.
6. We are a company with full accounting – for each payment made before the training date, we issue an advance invoice, and in the month the training takes place, we issue a final/settlement invoice. Both advance invoices and the settlement invoices issued for them constitute the entire settlement and should be delivered to accountants. All invoices are sent exclusively electronically.
7. In case of withdrawal from participation in the training, reimbursement of costs takes place on the terms described in the section: Terms of withdrawal from training (Returns and Refunds Policy):

Vet Pro Akademia reserves the right to cancel a training course due to an insufficient number of participants or unforeseen circumstances, e.g., illness, accident of a lecturer, force majeure, etc., even on the day before the training. In such a case, the entire amount will be refunded to the payer's account within 7 days.
9. The minimum number of participants guaranteeing the execution of the training is provided in the description of the specific training.
10. In case of no available spots for a given training, we offer interested parties the option to be placed on a waiting list – being placed on the waiting list does not incur any fees. If someone from the main list resigns, individuals on the waiting list will be offered a spot depending on the time remaining until the training – via email or phone. The person who receives such an offer, upon confirming attendance and taking the spot, is obligated to pay for participation in the training based on the received invoice by the training date or within the specified time on the invoice – along with the reservation confirmation, information necessary for attending the training, they also receive an invoice. Interested parties from the waiting list may sometimes be invited even two days before the training date; everything depends on whether such an option arises or not.
11. The data provided for invoicing will not be changed. Please consider them carefully before entering them, and if there are any changes, please update your profile before making a payment.

Terms of withdrawal from training (Returns and Refunds Policy):
1. Persons who have made a payment:
- in case of withdrawal from participation in the training more than 90 days before its start – may apply for a refund of 100%* of the amount paid;
- in case of withdrawal from participation in the training between 60-90 days before its start – may apply for a refund of 75%* of the amount paid;
- in case of withdrawal from participation in the training between 30-60 days before its start – may apply for a refund of 50%* of the amount paid;
- in case of withdrawal from participation in the training less than 30 days before its start - 100%* of the amount paid is not refundable.
* A handling fee of 4% is charged from the refunded amount for the payment operator.
2. The amount will be refunded to the payer's account within 7 days.
3. Failure to make payment based on a proforma invoice by the specified deadline does not equate to resignation from the course if the payment deadline falls within less than 3 months before the start of the training. In such a case, the participant is obligated to inform the organizer of their resignation and to pay the fee in accordance with point 1.
4. Failure to make payment based on a proforma invoice by the specified deadline, if the payment deadline falls within more than 3 months before the start of the training, may result in removal from the list of participants.
5. Resignations from training are accepted only in written form at: szkolenia@vetproakademia.pl
6. Failure to inform us about resignation from the training and non-attendance at the training will result in the forfeiture of the entire amount paid.

International Users
Please note that we may transfer, store, and process the User's personal information outside their country of residence. The User's personal information is also processed by employees and external service providers and partners in these countries.
If we transfer the User's personal information outside Europe, we will rely on recognised data transfer mechanisms, such as the Standard Contractual Clauses adopted by the European Commission or any equivalent documents adopted by the competent authority in the United Kingdom, unless the data is transferred to a country that has been deemed to provide an adequate level of protection.
